An ERP licence is rented, every year

Most ERPs are no longer bought once and for all. They are rented by the year, per named user. Some modules cost extra. The monthly price is a little misleading. The figure that matters is the annual total, multiplied by the number of years you will keep the software.

That total follows your growth. Everyone who enters an invoice, prepares an order or approves a payment needs a licence. Price increases add to the bill: Microsoft raised Business Central list prices on November 1, 2025, according to ERP Research.

Published list prices

Here are the list prices of three ERPs common among SMEs and mid-sized companies. They are catalogue prices, billed annually, before taxes, negotiated discounts and implementation fees. If you keep your current system, our pages on Business Central AI integration and Acumatica AI integration explain how agents connect to it.

Oracle doesn’t publish NetSuite’s price list: every contract is negotiated. The figures in the table are the planning ranges Epiq published in August 2026.

The math for a thirty-user company

Take a 30-user company paying list price. The table shows the licence alone, over one year and then over ten years at today’s prices.

Licence alone, 30 users, 2026 list prices, in US dollars
Business Central EssentialsUS$28,800US$288,000
Business Central PremiumUS$39,600US$396,000
Dynamics 365 FinanceUS$75,600US$756,000
NetSuite, low end of the rangeUS$56,988US$569,880
NetSuite, high end of the rangeUS$131,640US$1,316,400

What the licence leaves out

These amounts cover the licence only, in US dollars. In Canadian dollars, add the day’s exchange rate. Implementation, training and customization come on top in the first year, then again at upgrades.

The list price is also just a starting point. A multi-year commitment or a large number of users often gets negotiated down. Conversely, nothing guarantees next year’s price unless your contract says so.

Five questions to ask before you renew

A licence is renegotiated at renewal. These five questions save you from bad surprises.

  • What will the per-user price be next year? For how many years is it guaranteed in writing?
  • What does one more user cost? Are there cheaper licences for people who view without entering data?
  • Which modules are included? Which are billed separately?
  • How do you get all your data back when you leave? In what format?
  • How much of the data entry could be automated, so your teams approve instead of retyping?

The other model: an ERP with no licence to pay

Paying every year for the right to use your ERP is no longer the only way. At Cogio, we offer our ERP with no licence to pay and no per-user fees, whether you have 5 or 200 employees. We earn our living from services: installation, automations, hosting and maintenance.

Our AI agents read invoices, orders and emails, then prepare the entries in the ERP. Your teams approve. The Free ERP page details the offer and what you pay.

Frequently asked questions

Are ERP list prices negotiable?

Often, especially for a multi-year commitment or a large number of users. Always get the full price list in writing, with the increases planned for the length of the contract.

What does an ERP with no licence cost?

The licence is $0. Services are billed separately: installation, automations, hosting and maintenance.

Can we keep our current ERP and still automate data entry?

Yes. Our AI agents also connect to Business Central and Acumatica. Data entry gets automated without changing software.
