Accounting firms

Less chasing documents, more time to advise

Custom AI agents for CPA firms: document collection, reconciliation, engagement letters and file tracking, on a server that stays at the firm.

Let’s talk about your project
  • Lighter tax seasons
  • Professional secrecy protected
  • Connected to your tools

Your clients’ files stay at the firm

Returns, financial statements, bank statements: your files are covered by professional secrecy and hold personal information. Sovereign AI processes them on a server installed at the firm or hosted in your region, and it is designed to support your Law 25 obligations: privacy impact assessment, access logs and hosting in Quebec.

Trust centre

  • On your server

Installed at the firm or hosted in Quebec by a Canadian-owned provider. Your clients’ files never go through an outside AI provider.

  • Never trained on your files

The agents read the documents at the moment they answer and cite their sources. No model is retrained on the firm’s information.

  • You own it

Open models, documented configuration, no per-seat fees. If you leave, everything keeps working.

Use cases

Each agent is set up around your templates, your document lists and your tools. It prepares the work. The CPA reviews, decides and signs.

  • Document collection

List of expected documents for each client, follow-ups as needed, documents received by email read, named and filed in the right file.

  • Tax season

Complete files flagged, missing documents reported, work queue kept current: every morning the team knows where each client stands.

  • Reconciliation

Bank and card statements reconciled with the entries, differences flagged and explained when the document exists, for the technician’s review.

  • Engagement letters

Letters prepared from your templates and each client’s engagement, with renewals entered in the calendar.

  • Clients’ supplier invoices

Invoices read, supplier and account suggested, duplicates removed: entry waits for approval before anything is posted.

  • Client questions

Emails sorted by file and urgency, reply prepared from the history, sent only after review.

  • Search across your files

A question in plain language, an answer drawn from your files and working notes, with a link to the source document.

  • Firm billing

Time and work gathered into a draft invoice, anomalies flagged, receivables tracked with follow-ups in the firm’s tone.

How we work

  1. First step

    Discovery call

Confirm that your need lends itself to a sovereign solution, and set the boundaries of what comes next.

Deliverable: An expert opinion on whether it is worth going further, plus a few recommendations on which implementations to tackle first.

    FreeLet’s talk about your project

  2. Step 1

    Digital diagnostic and plan

Confirm that the project is both buildable and profitable: a map of your processes, your data and your systems, then a dollar value for each use case.

Deliverable: A costed digital plan and a requirements document, often eligible under stream 1B of the ESSOR program.

    ESSOR 1B (50%)

  3. Step 2

    Build and rollout

Implement the selected solutions on your infrastructure: install the server on your premises or with a Canadian-owned host in Quebec, configure your AI, and connect it to your environment and everyday tools.

Deliverable: A working solution in a controlled environment, technical documentation and test suites.

    ESSOR 1C (50%) MFOR (75%) C3I (15% to 25%) RTRI (50%)

  4. Step 3

    Maintenance and support

Keep the solution fast and compliant: monitoring, model updates and a monthly report.

Deliverable: Uptime maintained, a bank of hours for enhancements, and documented governance.

Frequently asked questions

Another question? Write to us at support@cogio.ai.

Does sovereign AI respect professional secrecy?

That is its purpose. Files stay on a server installed at the firm or with a Canadian-owned host in Quebec, no outside AI provider receives them and every access is logged. Judgment on what may be disclosed remains the CPA’s.

Can the AI prepare the returns for us?

No, and that is not the goal. The agents gather, file and reconcile. They flag what is missing or out of place. Preparation, review and signature remain the CPA’s work.

What does Law 25 require of our firm?

Among other things, a privacy impact assessment before acquiring or developing a system that processes personal information, and before communicating it outside Quebec. Our Law 25 support prepares these documents with you.

Does the AI connect to our software?

Outlook, SharePoint, Excel, QuickBooks, Sage 50 and Acomba are supported from day one. For your tax and practice management software, we look at their exports on the first call.

Is an accounting firm eligible for funding?

Training your team is eligible under the MFOR program at up to 75%. Since March 13, 2026, ESSOR no longer prioritizes professional services. We confirm your case before any application is filed.
