Automating a supplier invoice process

Three AI agents move each invoice through five steps. A person only steps in for exceptions and the signature.

Confidentiality

Your prices, your margins and your clients’ plans are your competitive edge. Sovereign AI processes them on a server installed on your premises or hosted in your region, without handing them to a cloud service.

Trust centre

  • 100% sovereign AI

The server and the model stay inside the company. Your quotes and plans stay where they already are, and no outside AI provider ever sees them.

  • Connected to your tools

Your ERP, QuickBooks, Sage 50 or Acomba, AutoCAD, Outlook and Excel: the agents work inside the software your teams already use.

  • You stay in charge

Invoices, quotes and drawings wait for the manager’s approval before they go out. Every action is logged.

  • Human support

A local team installs the solution, trains your staff and stays reachable after go-live.

How we work

  1. First step

    Discovery call

Confirm that your need lends itself to a sovereign solution, and set the boundaries of what comes next.

Deliverable: An expert opinion on whether it is worth going further, plus a few recommendations on which implementations to tackle first.

    FreeLet’s talk about your project

  2. Step 1

    Digital diagnostic and plan

Confirm that the project is both buildable and profitable: a map of your processes, your data and your systems, then a dollar value for each use case.

Deliverable: A costed digital plan and a requirements document, often eligible under stream 1B of the ESSOR program.

    ESSOR 1B (50%)

  3. Step 2

    Build and rollout

Implement the selected solutions on your infrastructure: install the server on your premises or with a Canadian-owned host in Quebec, configure your AI, and connect it to your environment and everyday tools.

Deliverable: A working solution in a controlled environment, technical documentation and test suites.

    ESSOR 1C (50%) MFOR (75%) C3I (15% to 25%) RTRI (50%)

  4. Step 3

    Maintenance and support

Keep the solution fast and compliant: monitoring, model updates and a monthly report.

Deliverable: Uptime maintained, a bank of hours for enhancements, and documented governance.

Funding

The ESSOR program can cover up to 50% of the diagnostic and the rollout for an eligible SME. Training your team is eligible under the MFOR program at up to 75%. If tariffs are hitting your sales or your costs, the federal RTRI can fund half of an automation project. We check your eligibility on the very first call.

Frequently asked questions

Another question? Write to us at support@cogio.ai.

Can the AI connect to our ERP and our accounting software?

Yes. The agents plug into the tools already in place: Acumatica, Odoo or Business Central for operations, QuickBooks, Sage 50 or Acomba for accounting, AutoCAD for shop drawings, Outlook, SharePoint and Excel for correspondence and follow-ups. Your teams do not have to switch software.

Do our prices and quotes stay confidential?

Yes. The server is installed inside the company and the agents read your documents at the moment they answer. No price, no margin and no client plan is ever used to train a model. No outside AI provider ever receives them.

Who approves what the AI prepares?

You do. Supplier invoices wait for your signature before they are entered, quotes wait for the project manager’s approval, and drawings are filed pending sign-off. Every action is logged.

Is a manufacturer eligible for funding?

Yes. Manufacturing is eligible under ESSOR streams 1B and 1C, which are aimed at SMEs with 250 employees or fewer and revenue of at least $2.5M. The MFOR program funds team training at up to 75%. If tariffs are hitting your sales or your costs, the federal RTRI can be added as well. We confirm your eligibility before any application is filed.
