Power Automate, Zapier or an AI agent: what to choose for automation?
Power Automate, Zapier or an AI agent: real strengths, verified public prices, when a rules-based flow is enough, when an agent helps and how to combine them.

The short answer
Choose Power Automate if your business lives in Microsoft 365: it is already included for simple flows and talks naturally to Outlook, SharePoint and Teams. Choose Zapier if your tools are varied and cloud-based: its catalogue of connections is the widest and you can build a flow in minutes. Choose an AI agent when the task means reading an unstructured document or making a call that no simple rule captures.
These options are not mutually exclusive. In most projects we see, a flow tool acts as the plumbing and an agent does the reading and judging in the middle.
The real question: rule or judgment?
A classic automation tool runs a rule: “when an email arrives with an attachment, save it to this folder.” It is fast, predictable and cheap. It breaks as soon as the input changes shape: a supplier who redesigns its invoice, a client who writes the request in the body of the email instead of attaching it.
An AI agent reads the input the way an employee would. It recognises an invoice whatever its layout, pulls out the amount, taxes and due date, proposes the GL account and flags anything odd. It costs more to build and to run, and it can make mistakes: that is why it is paired with a human approval step. Our article on what an AI agent is explains the difference from a chatbot.
Power Automate: the logical pick inside Microsoft 365
According to Microsoft Learn, the free Power Automate licence lets any work account in a Microsoft tenant create and run cloud flows with standard connectors, without sharing them. Premium connectors, custom connectors and desktop automation require the Premium licence, listed at CA$20.40 per user per month on an annual commitment on Microsoft’s Canadian page.
The Premium licence also includes 5,000 AI Builder credits per month, useful for extracting data from simple forms. To run an unattended bot, Microsoft sells the Process licence at CA$203.50 per bot per month, or Hosted Process at CA$291.70 if Microsoft provides the virtual machine.
Strengths: native Microsoft 365 integration, the on-premises data gateway to reach an internal server, and automation of legacy software by mimicking keyboard and mouse (RPA). Limits: licensing gets complicated fast, and AI Builder credits are no substitute for an agent able to reason over a whole file.
Zapier: speed and catalogue
Zapier stands out for ease of use: a manager builds a flow without coding, across more than 9,000 apps listed in its directory. Its pricing page shows a free plan with 100 tasks per month, the Pro plan from US$19.99 per month billed annually for 750 tasks, and the Team plan from US$69 per month billed annually for 2,000 tasks. The price rises with task volume.
Zapier also offers agents (Zapier Agents), billed in “activities” rather than tasks: 400 activities per month for free, 1,500 on the Pro plan.
Strengths: setup speed and catalogue breadth. Limits: according to its own data privacy page, Zapier hosts data on AWS servers in the United States, which calls for a section 17 assessment under Law 25 as soon as a flow carries personal information. It is also a poor fit for software installed on an internal server.
What about n8n?
The “Power Automate, Zapier or n8n” question comes up often. n8n is a flow tool with a version you can install on your own servers: data then passes through no foreign cloud. Its cloud version starts at €20 per month (billed annually) for 2,500 executions. It is a good candidate for an SME that wants to keep its flows in-house, provided someone is there to maintain it.
The three approaches side by side
The table sums up the differences that weigh in an SME’s decision.
| Power Automate | Zapier | AI agent | |
|---|---|---|---|
| Best for | Flows inside Microsoft 365 | Flows between cloud apps | Reading, judging, proposing |
| Entry price | Included for standard connectors, Premium at CA$20.40 per user per month | Free (100 tasks), Pro from US$19.99 per month | Custom project, then running costs |
| Unstructured documents | Limited (AI Builder) | Limited | Yes |
| Where the data is | Microsoft cloud | AWS in the United States | Depends on hosting: can stay with you |
| Who builds it | An employee comfortable with the tool | An employee, no coding | An integrator, with your teams |
When an AI agent is worth it
At Les Industries Romy in Granby, supplier invoice entry is a good example: the mailbox is scanned, the agent tells an invoice from a mere statement, reads the PDF and prepares the expense, which goes into QuickBooks after approval. No fixed rule could have absorbed the variety of suppliers. Details are in the Romy case study and in our article on supplier invoice entry in QuickBooks.
- Inputs are documents in varying formats: invoices, purchase orders, drawings, contracts.
- The task means cross-checking several sources: the ERP, email, the client file.
- Volume is high enough for the gain to be measured in hours per week.
- A person can check the result before it commits the business.
Combine rather than choose
The sturdiest setup separates roles. The rules-based flow triggers (an email arrives, a status changes) and carries the result to the right system. The agent does the work in the middle: reading, extracting, comparing, drafting a proposal. A person approves what commits the business: a price, a payment, a message to a client.
This split keeps each tool on what it does well and limits cost: the language model is called only when something truly has to be read or judged. To go further, our article on business process automation reviews twelve tasks and the right tool for each.
If the data is sensitive, the agent can run on sovereign AI, hosted on your premises or in your region, while flows without personal information stay in Power Automate or Zapier.
Frequently asked questions
Is Power Automate included in Microsoft 365?
Partly. According to Microsoft Learn, any work account can create and run cloud flows with standard connectors, without sharing them. Premium connectors and desktop automation require the Premium licence.
How much does Zapier cost for an SME?
The free plan includes 100 tasks per month. Pro starts at US$19.99 per month billed annually for 750 tasks, and Team at US$69 for 2,000 tasks. The price rises with volume.
What is the difference between a Zapier flow and an AI agent?
A flow runs a fixed rule on a predictable input. An AI agent reads a variable input, such as a PDF invoice or a free-form email, extracts what matters and proposes an action that a person approves.
Does Zapier comply with Law 25?
Zapier hosts data on AWS in the United States. It can be used, but a flow that carries personal information requires a privacy impact assessment before the communication outside Quebec (s. 17).
Can Power Automate and an AI agent be combined?
Yes, and it is often the best setup: Power Automate triggers and carries, the agent reads and proposes, a person approves. Each stays on what it does well.
